General Description

General Summary of the Position: 

Attends to customers' wants and needs in a friendly and professional manner; making the customers feel like they are our #1 priority.  Ensure excellent service standards and maintain high customer satisfaction.

 

Essential functions and responsibilities:

Effectively manage large amounts of incoming calls.

Provide accurate, valid and complete information by using the tools available.

Develop and maintain in-depth product knowledge.

Handle complaints; provide appropriate solutions and alternatives and follow-up to ensure resolution.

Enter customer purchase orders accurately and efficiently.

Maintains customer name and address data base to insure accuracy.

Greets visitors warmly and in a professional manner.

Coordinate mail flow in and out of office.

Process daily mail including Priority mail.

Process Sales Orders, Invoices, Credits, Returns and International shipping documents.

Communicate any discrepancies to the customer and resolve any issues surrounding the transaction.

Build sustainable relationships of trust through open interactive communication with our outside sales force.

Encourage the up-sell of products in an ethical and professional manner.

Work as a team with the Sales & Marketing Department.

Work closely with the Shipping Department to insure complete customer satisfaction.

Communicate customer feedback to the Sales Department in order to develop increased sales.

Must follow company and OSHA safety procedures and all regulatory policies and procedures.

Fill out customer feedback forms and give them to the Quality Manager.

Audit all documentation to insure accuracy.

Process credit card transactions with accuracy and confidentially.

Complete end of day reporting.

Be able and willing to perform all duties, as assigned by supervisor.

Must have ability to meet attendance schedule with dependability and consistency.

Assist in training of new employees or employees learning new tasks.

 

Job Knowledge, Skills and Abilities:

Proven customer service support experience.  Strong phone contact handling skills and active listening.  Excellent communication and presentation skills.

Must be able to read and interpret documents such as procedure manuals, work instruction, software manuals.  Ability to write routine reports and correspondence.  Ability to speak and communicate well with customers.  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.

Must have ability to understand and carry out written and oral instructions.

WORK EXPERIENCE REQUIREMENTS

1-3 Months related experience and/or training; or equivalent combination of education and experience.

Be familiar with or have the ability to learn current software packages such as Microsoft and Excel.

Be able to learn all products lines and customer base.

Knowledge of QuickBooks preferred but not required.

Shipping experience preferred but not required

Must be familiar with all office processes and equipment.

Education Requirements

High School diploma or GED
